Getting Started

A simple guide to importing your clients, products, and services.

How it all comes together:

Add your clients → Add your products (with the correct types) → Add your services (with the correct categories) → Go to Color Log or Lightener Log → Select a client → Record their formula → Done.

Every formula you record is saved to the client's profile. Next time they visit, you'll see their full colour history — no more guessing or flipping through paper cards. HueSuite builds a complete colour timeline for every client, automatically.

All your services are also accessible from the Services page in the sidebar, where you can search, browse, and manage your full service menu at any time.
Before you begin: Every template you download has a header row (Row 1) with column names. Do not change, rename, or delete this row. Simply add your data starting from Row 2 downwards.
1. Import Your Clients

You can quickly add all your existing clients by uploading an Excel file.

Step by step

1. Click CLIENTS in the left sidebar
2. Click TEMPLATE (top-right) to download the blank Excel template
3. Open the file in Excel or Google Sheets and add your clients from Row 2 downwards
4. Save the file, then click IMPORT (top-right) and select your file

2. Import Your Products (Inventory)

If you have a list of products you use or sell, you can import them all at once instead of adding them one by one.

Tip: Before importing your products, go to INVENTORY & SUPPLIERSSuppliers tab and add your suppliers first. This way, when you fill in the Supplier column in the Excel template, HueSuite will automatically match each product to the correct supplier.

Step by step

1. Click INVENTORY & SUPPLIERS in the left sidebar
2. Click TEMPLATE at the top to download the blank Excel template
3. Open the file and add your products from Row 2 downwards (see column guide below)
4. Save the file, then click IMPORT and select your file

Important: Product Types Matter

Each product must be assigned the correct type. HueSuite uses the product type to automatically pull the right products into your Color Log and Lightener Log when recording formulas. If a product has the wrong type, it won't appear where you need it.

Example: If you have Goldwell Topchic 7N, it's a colour tube — set its type to color_tubes. Toners also go under color_tubes. If you have Schwarzkopf BlondMe bleach, set it to lighteners. If you have Olaplex No.1, set it to bonders. Getting this right means HueSuite will automatically show the correct products when you're recording a formula.

Understanding Stock & Cost Tracking

Why this matters: HueSuite tracks your stock levels in real time and automatically calculates your cost per ml/g — so you always know exactly what each service costs you in product. Here’s how the key fields work together.

1.5 tubes × 60 ml = 90 ml Total Volume. Decimals let you track partial units.

Tip — Decimal stock: If you’re already using products, you don’t have to round. For example, if you have 1.5 tubes of a 60 ml colour, enter 1.5 as Current Stock. HueSuite calculates your Total Volume automatically: 1.5 × 60 = 90 ml.

Set the Unit Price and HueSuite calculates cost per ml/g automatically.

Cost per ml/g: When you set the Unit Price, HueSuite divides it by the size per unit to give you a precise cost per ml or gram. For example, a €10 tube of 60 ml = €0.1667 per ml. This is what HueSuite uses to calculate the product cost of every formula you record.

Automatic Low-Stock Ordering

When a product’s Current Stock falls 0.5 or more below its Min Stock, HueSuite flags it as low stock. You can then generate a purchase order (PDF or Excel) with everything that needs restocking.

Filter by supplier: Go to INVENTORY & SUPPLIERS, select a supplier from the filter, then click Low StockOrder PDF or Order Excel. HueSuite generates an order sheet containing only that supplier’s low-stock items — ready to send.

3. Import Your Services

Add your full service menu — haircuts, colour, treatments, and everything else you offer.

Important: Service Categories Matter

HueSuite uses the service category to connect your services with the Color Log and Lightener Log. If a service is in the wrong category, it won't be tracked correctly.

Example: A "Full Colour" service must have its category set to Color. A "Balayage" service must have its category set to Lightener. A "Men's Haircut" can be in any category like "Haircuts" — it's up to you.

About Markups & Pricing: The markup is a multiplier (×), not a percentage. It only applies to Color and Lightener services — the ones that use products. For example, if the product cost for a colour service is €5 and you set the markup to , HueSuite suggests a charging target of €15.

Non-technical services (haircuts, treatments, styling) don’t use products, so the markup field doesn’t affect them — just set your price directly.

If you ever need to review or adjust your prices, simply update your markups and HueSuite will recalculate the suggested targets for you.
4. Recording Formulas & The Color Log

Every time a client visits for a colour or lightener service, you record their formula in the Color Log (or Lightener Log). This is the heart of HueSuite — it tracks what you used, deducts from your inventory, and builds a complete colour history for each client.

How it works

1. Click COLOR LOG (or LIGHTENER) in the left sidebar
2. Select the client — if they’ve been before, you’ll see a REPEAT LAST SERVICE button to instantly load their previous formula
3. Choose the brand, color category, service type, and stylist
4. Fill in the formula: colour tubes (with grams), developer (with ml), bonder, and pigments
5. Click SAVE COLOR SERVICE — HueSuite saves the formula to the client’s profile and automatically deducts the products from your inventory
Repeat Service: If a client has visited before, the REPEAT LAST SERVICE button loads their previous formula instantly — brand, colours, developer, everything. Adjust if needed and save. No retyping.

Automatic cost calculations

When you fill in all the fields — including the stylist — HueSuite calculates everything automatically:

Important: Select a Stylist

The labor calculation only works if you select a stylist in the form. Without a stylist, HueSuite can’t calculate the labor cost and the Suggested Charge will be incomplete.

Test your pricing: Try changing the markup on a service — HueSuite will instantly recalculate the Suggested Charge. This lets you experiment with different price points and find the range that covers your costs and meets your profit goals.
5. Setting Up Your Costs & Pricing

For HueSuite to calculate accurate Suggested Charges, it needs to know your salon’s running costs. This is set up in three places in SETTINGS.

Step 1: Add team salaries

Go to SETTINGSTEAM. Add each team member and their monthly salary. The owner’s salary is set at the top.

Step 2: Add monthly expenses

Go to SETTINGSEXPENSES. Enter your fixed monthly costs: rent, power, water, and other expenses. The Salaries field is automatically calculated from the Team tab.

How it adds up: Salaries (€12,575) + Rent (€1,100) + Power (€230) + Water (€100) + Other (€4,000) = Total Monthly Expenses: €18,005

Step 3: Your hourly rate

Go to SETTINGSSERVICE MENU. At the top you’ll see Work Days / Month, Working Hours, and the automatically calculated Hourly Rate.

Service Menu — HueSuite calculates your hourly rate from expenses and working hours.

How it’s calculated: Total Monthly Expenses (€18,005) ÷ Work Days (22) ÷ Working Hours (8) = €102.30 per hour. This is the hourly cost of running your salon — HueSuite uses it in the Labor line of every formula calculation.
Why this matters for pricing: The Suggested Charge on each Color Log entry combines your product cost (with markup), bonder cost, and labor (time × hourly rate × labor markup). By adjusting your service markups, you can see exactly what price range covers your costs and delivers the profit margin you want. It’s a built-in pricing calculator for your salon.
